Executive summary
Millenium Transport Ltd. Is a company that manufactures and distributes tractor equipment for heavy-duty which has experienced a high number of incident reports over the past years. Some of which have resulted in injuries with lost time. However, the company wants to be ISO 9001 certified. In order to get a better understanding of the gaps and challenges between the current and desired situation, to successfully prevent such incidents, and improve the capacity building of workers on the job, the robust Training Needs Assessment (TNA) program is issued by Occupational health and safety (OHS) teams.
The purpose of this training is done by (a) assessing the gaps in awareness and knowledge of current and desired situations both at the managerial and worker level; (b) Evaluating the types of training already received on the concerned matter; and (c) implementing the specific training needs and methods that are applied among the workers for the desired progress of the company.
The TNA considered all aspects of the company’s operations, skills, and knowledge of its workers in order to determine the most effective training methods. Questionnaires, surveys, self-assessments, tests, and interviews are held manually by almost 50 participants as trainees from the company. Safety training and awareness programs are held at the working spot for the employees which will prevent future incidents and injuries.
The results show that staff members of the company have received robust training in safety. Workers receive desired training in customer service and retail marketing. They are trained in how to load and unload heavy materials to the desired places using forklifts. There is a clear added value to targeting all clients and stakeholders in the compliance and enforcement chain.

Background
Millenium Transport Ltd. Manufactures and distributes tractor equipment used in heavy-duty agricultural/forestry sectors. The company has a very limited training program in place and is looking to expand its business and improve its existing training programs in order to meet the requirements for ISO 9001 certification. The training team is aware of the current situation where numerous incidents were filed over the past years and some cases resulted in injuries with lost time. Some workers who returned to work could not give 100% effort to the job that they previously occupied.
This report is an outcome of the research, helped by the financial support from the OHS Department within the context of the TNA carrying out the goal of capacity building of employees.
To address the challenges of the training, the TNA focuses on the following:
- Further training is required; both theoretical and at a practical level.
- The company should develop and implement long-term capacity-building and training strategies and programs for all staff members.
- Specific training sessions regarding inspections, detection, administration, dealing with customers and clients and fork lifting should be given.
- Tools like guidelines, toolkits, or operational manuals support the capacity-building efforts; mainly after training is provided.
- Joint training sessions are recommended as they facilitate the seller-buyer relationship and create mutual understanding.
- Training impact should always be measured.
- Facilitate specialization of parts in the area of sales/marketing and distribution.
- Offer distance learning and training to allow for loading or unloading heavy loads.
Scope and methodology
The primary objective of this TNA is to identify the needs of the company, in order to meet the requirements for ISO 9001 certification and to reduce future incidents and injuries at the workplace. About 50 staff members will be trained and continually followed by questionnaires, surveys, tests, and self-assessment programs for data collection. The TNA will be conducted through a series of interviews with key stakeholders, as well as reviewing past records, databases, and documents that will help in analyzing existing reports.
This training is designed into two parts: the first part provides specific training to targeted members, such as safety training for the worker’s safety in the workplace, quality assurance training for the quality testing personnel, teamwork training for the workers in a group for a specific task like communication, customer service, and incident investigation training for the employer and supervisor for controlling future incidents and injuries. Secondly, data collection is done by several tools applied in the training field such as questionnaires, surveys, tests, self-assessment exams, interviews, and reviewing past records, databases, documents etc.
Findings
The findings of the TNA indicate that the following training is required in the company to meet ISO 9001 certification and to reduce future incidents and injuries in the workplace along with improving the work capacity of the workers while performing specific jobs:
- Safety Training: This training should focus on all the company staff identifying, controlling, and preventing hazards in the workplace, as well as the proper use of personal protective equipment (PPE) should be compulsorily applied.
- Quality Assurance Training: This training should focus on the specific groups working with quality control and cover topics such as quality control, risk management, and process improvement.
- Teamwork Training: This training should cover topics such as communication, collaboration, and problem-solving in the workplace.
- Incident Investigation Training: This training should be focused mainly on the managerial level and covers topics such as root cause analysis, corrective action plans, and continuous improvement in the performance of workers.
Discussion
In addition to the training program, the company should establish a safety committee to identify potential risks and hazards in the workplace and create a plan to reduce them. Appointing a safety officer is also the right step in this direction. He or she will be of great importance in creating and implementing safety protocols for all areas of the workplace. The officer will also monitor employee compliance with safety protocols and document all incidents and injuries that occur. He or she will also analyze the data from incidents and injuries to identify areas of improvement and develop strategies to reduce future incidents.
Conclusion & Recommendations
The results of this TNA indicated that Millenium Transport Ltd. Requires a comprehensive training program in order to meet the requirements for ISO 9001 certification. It also needs to reduce the occurrence of incidents and injuries on the work site. According to the OHS teams, the TNA questionnaire is targeted to a minimum of 50 respondents from the company. Interviews will be done from the managerial to the worker level randomly. Some general conclusions have been drawn along with recommendations concerning training needs and training methodology, which are as follows:
- The training program should include safety training, quality assurance training, teamwork training, and incident investigation training.
- Training should be provided to all staff members in the compliance and enforcement chain, regarding current and desired situations to fill the gaps needed from the training analysis.
- Training should be provided both to workers on duty, as well as to managers, and employers according to their specific tasks and competencies.
- Trainee should be provided, with appropriate guidelines, toolkits, or operational manuals.
- Evaluation of training activities by trainees (through tests, surveys, self-assessment, questionnaires, etc.) can be predicted in order to better monitor evolving training needs and the impact of the capacity-building initiatives.
Finally, through several conclusions and recommendations, TNA will be able to meet the needed gaps in the company and help it with ISO 9001 certification. TNA will bring positive effects on staff members and employees by helping them acquire new knowledge and skills that enable them to perform their jobs better. Trained employees will have a greater confidence level and self-efficacy in their ability to perform the specified jobs. The company will be increasing its business with higher earnings, as a result of improved marketability with more clients and customers. There will be a higher return on investment after training.
